As Executive Assistant & Office Manager (gn), you will join an established, Munich-based venture capital fund that supports entrepreneurs on their way to building tomorrow’s global technology companies with a positive impact on markets and society. You will work in a small, values-driven and international team that operates with high trust, intellectual curiosity and a strong sense of responsibility. In this role, you will be the trusted right hand to the General Partners, ensuring that calendars, travel and day-to-day operations run smoothly and efficiently. Together with an experienced team EA for office, team and events, you will create the conditions for the investment team to focus on founders, portfolio and strategy. This position is ideal for someone who genuinely sees professional executive support and office management as their craft and takes pride in making others more effective.

Tasks

  • Act as the trusted right hand to the General Partners, ensuring they can focus on their core responsibilities with founders, portfolio and investors
  • Take full ownership of complex calendar management across multiple time zones, including prioritization, preparation and proactive follow-up
  • Plan and coordinate domestic and international travel itineraries for the General Partners and, where needed, for the broader team (flights, hotels, transfers, visas where applicable), including expense handling
  • Prepare and support internal and external meetings, including document preparation, presentations and briefing materials
  • Coordinate and support community and ecosystem activities such as founder summits, annual meetings, portfolio events and team offsites (in close collaboration with the existing team EA / events function)
  • Manage selected projects independently, including vendor and service provider management for events, meetings and office-related services
  • Oversee day-to-day office operations in Munich: ensuring a welcoming, well-organized and professional environment, managing supplies, maintenance and external service providers
  • Welcome guests and visitors, ensuring a professional and hospitable experience and that meeting rooms are prepared and running smoothly
  • Maintain and update contacts and relevant data in internal systems (e.g. CRM, contact lists, distribution lists)
  • Identify, propose and implement improvements to processes, tools and routines to enhance the efficiency of the team and office operations
  • Provide occasional support with personal matters for the General Partners when it helps keep the broader agenda on track – always with utmost discretion and professionalism

Profile

  • At least 3–5 years of professional experience in a comparable Executive Assistant, Personal Assistant and/or Office Manager role; experience in a venture capital, private equity, investment or high-growth tech/consulting environment is a strong plus
  • Fluent English skills (written and spoken) and very good to fluent German skills, enabling you to interact confidently with founders, service providers and stakeholders in both languages
  • Outstanding organizational skills, reliability and a sharp eye for detail, combined with the ability to keep an overview when priorities shift
  • Strong service mindset with a proactive, hands-on approach – you take ownership, anticipate needs and enjoy making things run smoothly without needing close supervision
  • Confident handling of complex calendars and travel planning across multiple time zones, including last-minute changes and re-prioritizations
  • Comfortable managing several tasks and requests in parallel, making sound judgments on what is urgent and important
  • Professional, friendly and calm presence, with excellent communication skills and the ability to represent the fund credibly towards founders, investors and partners
  • High level of integrity, discretion and trustworthiness when working with confidential information and personal matters
  • Resilient, adaptable and willing to support during busier phases (e.g. fundraising, major events), including a basic level of reachability outside of standard office hours when required
  • Confident user of MS Office and common collaboration tools; openness to learning new systems and tools quickly

You will join a very collaborative and down-to-earth environment with experienced partners and an established support function for office, team and events. A structured onboarding is ensured, and you will work closely with the General Partners and the finance/operations function to quickly gain a deep understanding of calendars, travel routines and internal processes. The working style is characterized by trust, autonomy and clear expectations: you are given responsibility early on and are expected to organize your area independently, while always having a sparring partner for questions and alignment. This is a full-time role based on a standard 40-hour workweek. There are occasional peak periods (e.g. during fundraising phases or major events) where additional flexibility and availability are required. This role is designed as a long-term position for someone who enjoys building a stable, reliable support structure in a fast-paced but appreciative environment.
