Our client is an American global financial services firm focused on investment banking advisory services The firm advises clients across a range of the most active industry sectors and international markets. With more than 650 employees, the company maintains offices in New York, Houston, London, Calgary, Chicago, Denver, Los Angeles, Paris, Munich and San Francisco. 

10 colleagues in the Munich Office, 1 other experienced Assistant in the office

Salary range between €60.000 und €85.000 p. a. depending on the background of a suitable candidate

Tasks

  • Managing diaries & calendars with creative agility
  • Keeping the team well informed of upcoming commitments and responsibilities, following up appropriately.
  • Proactive outreach and prospecting in markets that bankers are traveling within to maximize meetings, time and productivity.
  • Responding in a timely manner to a high volume of emails.
  • Schedule domestic and international travel arrangements (air, hotel, ground transportation) with Corporate Travel
  • Organize conference rooms for onsite client meetings
  • Planning team and client events, holiday parties (team dinners, dinners/lunches)
  • Prepare and process timely expense reports on a daily/monthly basis using the Workday expense application
  • Liaise with clients, global Assistants and internal employees in a professional and courteous manner 

Profile

  • Excellent performance record, previous experience in the financial services industry preferred but not required
  • Advanced proficiency in Microsoft Office Suite (MS Outlook, Word, Excel and PowerPoint)
  • Proficient with global time zone scheduling
  • Strong command of verbal and written business German and English 
  • Ability to multi-task and manage competing priorities effectively while meeting deadlines
  • Experience working with highly confidential information
  • Proven ability to manage demanding travel and calendar schedules
  • Strong attention to detail
  • Team oriented with the ability to work well within a group
  • Self-starter who is resourceful, organized and detail oriented
  • Excellent judgment, strong problem-solving skills and sense of urgency, and willingness to go the extra mile
  • Outstanding written and verbal communications skills
  • A good sense of humor and team spirit – team work makes the dream work!
